Choosing your adventure

We grade our trips by difficulty, fitness and any pre-requisite skill requirements. All trip pages on the website contain further information on accommodation, food and the day-to-day itinerary to allow you to determine if a trip is suitable for you. If you have any questions or are not sure please get in touch and we will be happy to talk you through any of our adventures.

Before you book

It is important that you have read and understood the booking conditions ahead of making your booking.

Travel Insurance is compulsory for joining any of our overseas trips. We strongly recommend taking out travel insurance with adequate cancellation cover at the time of booking, in case you need to cancel your trip.

It is also your responsibility to ensure you have a valid passport, usually requiring 6 months of validity beyond the return date of your trip, and any necessary visas for your trip.

Making a booking

Once you have selected the dates for your chosen adventure you can book through the trip page on the website by completing our online booking form. Alternatively, go to the ‘My Grand Adventure‘ page to view all trip departures.

For private departures and groups, please fill out our Bespoke trip request form and we will send you a link to a specific online booking page.

You can also make a booking over the phone or by email.

Payment Schedule

A £400 deposit is required to book your place on a trip. Final payment is due 90 days ahead of departure. For some trips we will also require an advance payment for permits or flights, you will be advised if this is the case for your trip ahead of confirmation of your booking.

Late Bookings

If you are booking on to a trip within 90 days of departure we require the full balance to be paid at the time of booking. Late bookings are subject to availability, please do not make any non-refundable travel arrangements until your place has been confirmed by a member of staff in writing.

Booking Confirmation

On receiving your booking we will send you full written confirmation by email within 2 business days. This will include a copy of your trip notes, kit list, flight instructions and list of actions required ahead of travel (providing your personal details, visa applications, travel insurance and any other requirements unique to your trip). It is important not to make any non-refundable travel arrangements (e.g. flights) before receiving this written confirmation.

You trip joining instructions, detailing where to meet and contact numbers for our in-country representatives and emergency UK line will be sent out 6 weeks ahead of travel.

Making a change to your booking

Should any of your personal details change, e.g. passport number, contact details, it is important you let us know immediately. As this may affect your flight, trekking permits or other in-country bookings that require us to submit your details on our behalf.

Amendments of travel dates or transfers to other passengers will be subject to a £75 administration fee, plus any costs incurred by us in changing bookings/flights. We aim to be as reasonable and flexible as possible when it comes to changes, so any questions please get in touch.

Cancellation/refunds

In the unlikely event that we have to cancel your trip, we will issue with a full refund. We cannot, however, be responsible for any additional costs incurred in preparing for your trip, including, but not limited to, visa, passport and vaccination charges, gear purchases or non-refundable flights and taxes

If you need to cancel your place on one of our tours cancellation charges will apply. You will be informed of any non-refundable elements that are booked on your behalf, such as international flights and some trekking permits.

a) 90 and more days before tour start date – Loss of deposit unless booking (and deposit) is transferred to a new booking for a different trip departing within 18 months or the original departure date
b) 45-89 days before tour start date – 50% of balance or retention of deposit if higher
c) 30-45 days before tour start date – 75%
d) 29-0 days before tour start date – 100%
